Automate Business Processes - Choosing the Right Solution

Automated workflows can provide tremendous leverage for SMBs by allowing them to do more with fewer resources. For non-technical founders, identifying the right use cases can be difficult. Don’t automate just to automate.

Buy back time by replacing simple, repetitive tasks, and reinvest that time into activities that drive revenue and growth.

Here are some common workflow automation use cases:

  1. Website form → automatic email → lead added to CRM → notification to sales team
  2. Client books appointment → confirmation email → calendar event → SMS reminder → invoice sent → reminder if unpaid
  3. Invoice created → payment received → accounting entry → monthly report email

Each workflow streamlines a specific business process, triggered by an event, schedule, or manual action, and executes a defined sequence of tasks automatically.

SMBs without an internal IT team typically have two options:

1. Automation platforms (Zapier, Make, n8n)

  • Fast to set up
  • Affordable at small scale
  • Limited flexibility at high complexity or volume

2. Custom-built workflows (freelancer / agency / internal dev)

  • Fully customizable
  • Better for complex or high-volume processes
  • Higher upfront cost, lower long-term friction

Before choosing, founders should consider:

How many workflow executions will run each day?
Automation platforms often price based on operations per month, and costs can increase quickly at higher volumes.

How complex are your workflows?
If workflows involve many steps, AI processing, or custom data logic, a custom solution may be more reliable.

How much time do you have to maintain the system?
Automation platforms are easier to start with, but still require time to manage and troubleshoot. Custom solutions require more setup, but less manual work once stable.
